RPMRS UPDATE VERSION 2.5 TO 3.0

INTRODUCTION
Version 3.0 is mostly the same, familiar RPMRS as Version 2.5, but it does contain many "bug" fixes and improvements, and a number of significant new capabilities. Some of the changes that have been made are to support customers with multiple offices, but these changes have been made in such a way as to be mostly invisible to customers with a single office. Other changes have been made to provide support for Internet websites.
GENERAL CHANGES
- User names
. There is a new user file. Each time RPMRS starts a valid user name must be provided. Prior to this, RPMRS would accept any two-character code as the user’s initials. You can add new users as needed in Step 84, but the person doing so must be a "System Operator." More than one user can and should be designated as a "System Operator."
- Booking Activity Reports
. Step 44 creates a daily booking report similar to step 34, but with more and better information. In particular, it separates revenue from non-revenue reservations in all sections of the report, so that average daily rates and other financial ratios are more useful. It also shows gross and net bookings by user (reservationist) for the current month, and can be used for calculating commissions at resorts that pay booking commissions. Cancellations are charged to the user who booked the reservation.
- Step 52 Renumbered
. Step 52 (Owner Charges Input and Changes) has been renumbered to Step 53.
- Initial Deposits Report
. The new Step 52 creates and prints a report of all reservations booked during the day or shift where the guest authorized the initial deposit be paid by credit card. It contains the information needed ensure that credit card charges for initial deposits are made on a timely basis, without the need for other manual records.
- Multiple Bank Accounts
. RPMRS now supports multiple trust funds, for those customers that operate multiple offices. If you have a single trust fund/bank account, you will see the trust fund number (1) on some accounting reports.
- Month-End Processing Flag
. Step 56 (Owner Statements) now has a "flag" that can be set while final statements are being processed, so that no other user can change any accounting data between the time Step 56 is finished and Step 57 is started. This will be of greatest value to customers with a large number of RPMRS users, not all working within speaking range of each other.
- Month-End Processing
. Messages about required month-end reports and procedures have been improved, to make month-end processing easier for new users. Added a new error report in Step 56, with a list of any errors that must be corrected before Step 57 is run. It also lists non-critical errors that should be corrected on a non-priority basis
- Owner Check Processing Flexibility
. Step 57 (Owner checks and monthly rental and accounting reports) has been changed so that all reports are now created and optionally printed before owner checks are created and printed. With this change, it is now possible to automatically void and recreate and print any owner checks that are spoiled during the printing process. For customers with multiple offices, this also allows checks to be printed in batches by trust fund or bank account. Users can now create and print test checks in Step 57, to check printer alignment.
- Unit Memo Pads
. The unit file now has its own memo pad file, so extended comments about a specific unit can be added in a unit file memo rather than an owner file memo. This is especially significant for owners who own multiple units. These memos can be viewed in Step 19 and edited in Step 11. The three memo pads for each unit are:
- MAINTENANCE: Comments about maintenance and equipment. One customer uses this memo for instructions about non-obvious light switches, how to turn on hot tubs, and the like, so that any staff member can quickly and easily respond to common questions from the guest about the unit . Its use is optional.
- RESERVATIONS: Miscellaneous comments about the unit, rates, owner policies, etc. It, too, is optional.
- INTERNET (WWW): A "sales" description about each unit that is used to describe the unit on the Internet. What are the attributes about the unit that would make somebody want to rent it versus other units? Like writing a real estate ad. Should start with a strong attention-grabbing sentence or phrase. See Lake Tahoe Accommodations website for good examples. Required for the website interface. DON'T WRITE THESE COMMENTS IN ALL CAPITAL LETTERS.
- Country Name
. Added a new prompt in Step 30 for country name, for use with Canadian and other foreign addresses. The default is USA (surprise!). Use CANADA for Canada, in which case the program will check for valid Canadian province code (like a state code), and a properly-formatted Canadian zipcode. If you enter anything other than USA or CANADA, then the state/province code is not required and the zipcode becomes a "free-form" 12-character field. These rules are identical to existing rules in Steps 20 and 79.
- Renter Mailing Label Selection
. Modified Step 25 to allow users to more selctively select the renters for whom they want mailing labels. This step now provides a wide range of selection criteria. This change should eliminate most requirements to call Victorex for special renter mailing label selections. Added an optional name and address report to accompany or in lieu of mailing labels.
- Future Guests Mailing Labels
. Step 42 is new step that supplements Steps 15 and 25 (owner and renter mailing labels). It will create and print mailing labels for both renters and owners based on future reservations. Use it if you want to mail something to all guests (renters and owners) booked to arrive during selected periods in the future.
- Tax Table Flexibility
. Implemented a new tax table file which supports multiple tax districts, each with its own rates and rules regarding the taxability of rent, forfeited rent, cancellation fees, and special charges such as cleaning and booking fees.
- Rental Rate Override. Added a (red) "flag" on the rental amount field on reservation displays, to highlight reservations where the rental amount was entered manually by a reservationist, and may not be the standard rental amount calculated by RPMRS.
- More Renters
. Made a change to allow more than 65,000 renters in the renter file.
- Unit Occupancy Statistics Report
. Changed Step 17 to eliminate the option for creating and printing unit Rolodex labels, and added a new Step 17 which will create and print the unit occupancy statistics report that previously was only available as part of year-end processing (Step 66).
- Credit Card Number Edit
. Added an edit of credit card numbers to reject numbers that are invalid. (This is a mathematical test and is not the same as checking a credit card account to make sure it is active.) The primary purpose of this edit is to reduce "typos."
OPTIONAL ITEMS
- Monthly Report Reminders
. RPMRS can now provide a reminder to run Steps 26 (renter referral code and zipcode booking statistics) and/or Step 37 (future booking report) at the end of each month.
- Reservation Memo Pads
. There is now an optional memo pad file for the reservation file that allows for extended comments for all reservations. These memos can be viewed and written to in Step 39. When this capability is enabled, new prompts are added in Step 31 (WHY THIS CHG?) and Step 32 (WHY CANCELED?) that must be answered whenever a reservation is changed or cancelled. These comments are automatically added to the reservation memo file. All reservation memos are date- and time-stamped with the user’s log-in name, so you can tell who entered each of the comments in the memo pad, and when.
- Guest Check-In and Check-Out
. Step 39 has a second new option, guest check-in and check-out. When enabled, you can record and display the date and time that guests are checked-in and out, and the number of keys issued and returned. The name of the user who checked the guest in or out is also recorded. When this option is enabled, Step 36 provides a new optional report. Scheduled and Overdue Check-Ins.
- Office File Use Expanded
. Many RPMRS steps have been modified to allow reports and availability searches to be run by office. This is particularly important at resorts where there are multiple offices, and each office has multiple location codes. It allows each office to operate independent of the "corporate" office, yet "corporate" still has full and immediate access to all data.
- Housekeeper and Hot Tub Cleaning Schedules
. Step 43 has been improved to add housekeeper and hot tub cleaning schedules and reports. This capability is primarily of value at resorts where hot tub cleaning and housekeeping vendors and/or staff members are assigned to specific units. These assignments are made in Step 11 and displayed in Step 19.
- More Unit Description Codes Per Unit
. Increase from five to seven the number of 4-character description codes that can be assigned to a unit
- Minimum Stay Requirements Flexibility
. There is improved support for defining minimum stay requirements for specific seasonal (including off-season) or holiday periods. Weekend minimums can differ from weekday minimums, also.
- Internet Support
. Special programs have been written to extract all relevant descriptive information, including the Internet (WWW) memo pads described above, as well as unit availability information, so that it can be transferred to an Internet website. With an appropriate Internet connection, this data can be transferred automatically on a scheduled basis. When coupled with Victorex’s Vacation Rental Search Engine and Online Booking software, the website stays up-to-date automatically, without user intervention. Once unit changes are entered into RPMRS, including adding and removing rental properties from the rental program, those changes are propagated to the Internet automatically, without requiring the services of a webmaster. The only manual work required is to process and upload photographs of new units added to the rental program. But even here the Victorex Internet software works to make things easy. It prepares and transmits a daily report that lists the units in the rental program that don’t have photographs on the website.
